Understand Reach templates
Reach templates are reusable outreach assets containing a subject, message and optional follow-up sequence. They are separate from the shared communication templates used for platform operational messages.
Open Reach → Templates. Search and filter the library by the available ownership, category and folder controls. Broader template scope depends on your access.
Complete template setup
- Choose the new-template action. Enter a clear internal name and select a verified default sender.
- Select the category and add an optional description explaining the audience and use case.
- Choose or create a folder when available so related assets stay together.
- Continue through Setup, Message, Follow-ups and Review.
A name and default sender are required before continuing. Keep folder names tied to a recognizable workflow.
Compose the message
Write the subject and body in Compose, or use HTML when you need that control. Inspect Preview after changing formatting, links or variables. AI assistance can generate or rewrite content, but a person should review the result.
Use a fictional example such as “Hello {{firstname}}” while designing the template. Confirm that the selected audience actually supplies the chosen field before launch.
Map variables to available data
- Use the Variable control or the available merge-variable list to insert supported tokens.
- During campaign setup, map tokens to audience fields, supported sender values or an explicit value as appropriate.
- Resolve every unmapped token before finalizing. Do not assume that inserting a token automatically supplies its data.
- Inspect recipient-specific previews to catch blank names, incorrect company values or unresolved placeholders.
Review signatures and follow-ups
Check Include sender signature against the content. Keeping both a template signature and the managed sender signature can duplicate the sign-off.
Add follow-ups only when needed. Choose thread continuation or a new message, timing and response conditions for each enabled step. Template follow-ups should still be reviewed against the actual campaign audience and schedule.
Save and reuse
- Review setup, message and enabled follow-ups. Resolve required fields and preview issues before saving.
- Return to the library and use preview, edit or duplicate when available. Duplicating creates a separate asset to review.
- In the campaign Message step, open Templates and select the intended asset. Recheck sender, variables and follow-ups after applying it.
Troubleshooting
- Cannot continue from Setup: enter a template name and choose a default sender.
- Cannot review: provide subject and body and complete enabled follow-up fields.
- Template missing from the library: check folder, category, ownership scope and workspace.
- Variables appear literally: inspect mapping and audience data in the campaign rather than changing the token blindly.
