Prepare an authorized audience
Prospects is the reusable Reach audience directory. A campaign CSV is a campaign-specific source; importing into Prospects makes the records available for reuse within your permitted scope.
Use contacts your organization is authorized to approach, and respect existing suppression and opt-outs. Include an email column and only the additional fields needed for segmentation or personalization.
Import a CSV
- Open Reach → Prospects and choose Import CSV.
- Choose the CSV file and map its columns to the supported fields. Email is required.
- Map first name and last name when you want the importer to construct a name from those values. Review company, designation, industry, country, city and website fields as needed.
- Review the mapping before choosing Import prospects. Wait for the result summary.
The import panel makes mapped fields explicit before records are imported. This capture shows the blank upload state.
Review the import result
Check the created, updated and skipped counts. Existing records may be updated when the import supplies new mapped information; an existing record with no changes can be skipped. Invalid email records are also skipped.
If the result differs from the CSV row count, inspect the reported reasons and mapping before importing again. Re-importing a file is not a way to restore permission to contact someone who opted out.
Filter the directory
- Use Email, Company, CSV file, Type and Status to narrow the directory.
- Open More filters for the additional supported audience fields. Apply the required filters before selecting records.
- Use Compact or All fields when you need a different directory density. Clear filters when a record appears to be missing.
Filter first so selection, assignment and export apply to the intended audience.
Select, assign and export
- Select page applies to the visible page. Select matching applies to the matching audience, which can span more records than are visible. Confirm the selected count.
- Where assignment is available, choose the intended manager or member and review the selection before assigning or revoking access.
- Before exporting, confirm the selected scope and filename. Exports contain contact information; handle the file under your organization’s access rules.
- Deletion is permission-dependent. Verify the exact records before confirming; suppression removal and prospect deletion are different operations.
Use prospects in a campaign
- Open New campaign and choose Prospects in Audience.
- Refine the campaign filters, select the intended recipients and verify the count before continuing.
- Review variables using real selected records in the private preview. Missing values need mapping or an appropriate fallback before finalization.
Troubleshooting
- No records: check workspace, ownership scope, CSV source and active filters.
- Import skipped rows: review invalid emails, duplicate records and no-change results.
- Selected more than expected: clear selection and distinguish page selection from all matching.
- Cannot delete or assign: ask an administrator to review the specific permission; visibility does not imply permission to modify.
