Understand the sender boundary
A Reach sender is the account used for outreach delivery and supported reply reading. It is separate from the workspace connection used for shared operational email.
Prepare access to the sending mailbox and, when required, its mail connection details. Your organization must authorize both sending and inbox access. Never share credentials in campaign content or support screenshots.
Add a sender
- Open Reach → Senders and choose the new-sender action.
- Enter the sender name and email. Add a designation, group label and tags when they help your team identify the account.
- Choose the connection type for your own mailbox. Follow the fields and connection instructions shown for that option.
- Complete the connection and save only after checking that the selected account is the intended business sender.
Complete identity first, then choose the connection appropriate to your own account. The account email is hidden.

- Custom SMTP requires the host, port, security and authentication details supplied by your own mail provider. Use the provider-supported configuration.
- Microsoft 365 and Google Workspace offer an account connection flow. Check the account selected in the consent screen and the permissions requested.
- If you choose a customer-owned API-based mail account, use the instructions and credential labels shown for that option. Availability of sending does not automatically mean inbox reading is available.
Prepare identity and signature
Review the sender signature before using the account in a campaign. Campaign and follow-up editors can include the managed sender signature; turn it off only when the content already includes the intended signature.
Use the delivered-email preview to catch duplicate signatures, outdated job titles or missing identity information. Shared branding and legal footer settings are managed in Preferences.
Check tracking and readiness
- Return to the sender directory and inspect connection and verification status.
- If custom tracking is configured, follow the displayed domain instructions with someone authorized to manage your domain. Check the resulting tracking status.
- Review sending, failure and engagement indicators before increasing volume. A verified connection is not a guarantee of inbox placement.
Use connection and tracking indicators to assess readiness. Sender identity, group names and account metrics are hidden.

If authorization expires or a connection fails, use the available reconnect or edit flow. Verify the account identity again, then confirm a healthy connection before resuming eligible campaigns.
Check active and scheduled campaigns before removing or replacing an account. A sender change can affect delivery, reply continuity and tracking. Use the permission and confirmation controls presented by the product.
Troubleshooting
- Authentication failure: confirm the provider-supported login method and whether the account needs renewed consent.
- No sender in the campaign selector: check workspace selection, sender readiness and your access.
- Replies not appearing: confirm that inbox reading is supported and connected, then use the Inbox synchronization workflow.
- Tracking not ready: review the displayed domain instructions and verification status; do not assume a saved value has been verified.
